Effective Energy and your Data
Data Protection Law, namely the General Data Protection Regulation requires that we actively inform you of how we will process your data and to confirm the rights you have with regards to that processing. The purpose of this notice is to fulfil that requirement.
We may update this notice at any time and will update the privacy notice on our website. Where relevant, we will contact you to update you on any changes.

Data we use to process funding for your Energy Efficiency Improvement
Effective Energy Solutions process personal data to facilitate the provision of funding for energy efficient measures and to monitor the quality of work carried out. We will process the following:
- Name, Date of birth, address and contact information,
- Date of installation and details of the energy efficiency improvements installed
- Where relevant, copies of documentation showing proof of benefits and income supplied to you by the DWP and HMRC, and other information evidencing your eligibility for the scheme, such as a declaration from a local authority confirming your eligibility.
We may record calls to our business to aid training and compliance purposes. Our phone system will also store information on the time, length, source and destination of a phone call from who to who which we process to monitor the effectiveness of our service.
The personal data we process is done so under the legal basis of legitimate interest for the provision of funding for the energy efficient measures installed at your property and also to measure the performance of our business. We will not process your personal data for any other purpose. We do not need your consent to process this information but you do have rights to object to its processing. However, doing so may result in the funding being withdrawn for your energy efficiency improvement.
Sharing your personal data
In order to process the funding we must supply your data to utility suppliers and other funding providers to apply for the funding related to your energy efficiency install.
We may also share your information with quality assurance organisations who may contact you to inspect the workmanship and ensure that you are happy with installation. Again, they are not permitted to do anything else with your data.
We must also share DWP information with the Energy Saving Trust to check for elements of eligibility.
We will never retain personal information for longer than is necessary for the purposes we need to use it for. Generally we will retain the data for a period up to 6 years after the funding has been processed in case such personal information is required for the exercise or defence of a legal claim during this period.
We may retain personal information for as long as required by Law or instruction of a relevant accreditation body such as UKAS.
The Rights available to individuals in respect of the processing of personal data
Individuals are entitled to exercise any of the following privacy rights in respect of our processing of personal information:
Be Informed: Individuals have the right to be informed whenever their Personal data is processed – This Privacy Notice is one element of how we inform you of how we process your data. We will make it clear whenever we use your personal data as to how we use it.
Access: Individuals can request access to a copy of their personal information held by us, along with details of what personal information we use, why we use it, who we share it with, how long we keep it for and whether it has been used for any automated decision-making.
Rectification: Individuals can ask us to change or complete any inaccurate or incomplete personal information held about them.
Erasure: Individuals can ask us to delete their personal information where it is no longer necessary for us to use it, or where we have no legal basis for keeping it.
Restriction: Individuals can ask us to restrict the personal information we use about them where we are not able to erase their personal information or where an individual has objected to our use of their personal information.
Object: Individuals can object to our processing of their personal information.
Portability: Individuals can ask us to provide them or a third party with some of the personal information we hold about them in a structured, commonly used, electronic format so it can be easily transferred.
Withdraw Consent: Generally, we do not require consent to process personal information and so we do not ordinarily ask for consent to process personal information. However, where we do ask for consent to process personal information, individuals have the right to withdraw their consent at any time.
We are required to verify the identity of anyone requesting to exercise their privacy rights and we may ask individuals to provide valid identification documents when making a request to allow us to do this.
We will not make any charge for responding to any request from an individual exercising their privacy rights, and we will respond to any requests in accordance with our obligations under data protection laws.
Individuals can make a complaint about how we have used their personal information to us by contacting us as noted above, or to the ICO (https://ico.org.uk/concerns/).
In order for us to carry out the services required we have to process your personal data for that purpose as detailed in the privacy notice. If you exercise your right to object or restrict processing then we cannot perform our services. If these services are part of a contract, then we cannot perform that contract which could constitute a material change.

We process some personal data to monitor the effectiveness of our Website and online activities via cookies. Cookies help us understand and track your use of our websites and help us identify where we can improved the information and services provided via our website.

Job Applicants, current and former Effective Energy employees
All the information provided during the application process is used solely for the purpose of processing that application. We do not share any of the information provided during the recruitment process with third parties. The information supplied is held securely whether the information is electronic or physical and not held for longer than is necessary.
The information provided is used to assess your suitability for employment, you do not have to provide the information we request but it may affect your application if you don’t. We may hold you details for a period of 6 months and contact you with the regards the position applied or a similar position if one becomes available.
If we offer you a position, we will require additional documentation to confirm your right to work in the UK and retain copies of these records.
